About this notice

This Privacy Notice explains how CLEOSOFT (Pty) Ltd may process personal information when people visit the CLEOSOFT corporate website, contact us about software development, products or business opportunities, or otherwise communicate with CLEOSOFT.

This notice applies to CLEOSOFT corporate and general business activities. It does not replace the separate privacy notice that applies to the SHIELDS product and related SHIELDS services.

Information we may process

When you contact CLEOSOFT, we may process information that you provide to us, such as your name, email address, telephone number, company or organisation, job role, project requirements, enquiry details and other information included in your correspondence.

Our website hosting and security infrastructure may also process standard technical information associated with website requests, such as IP address, browser or device information, requested pages, date and time of access and related server or security logs.

How we use personal information

We may process personal information to:

• respond to enquiries and communications;
• discuss, plan and provide software development or related services;
• provide information about CLEOSOFT and its products;
• manage customer, supplier and business relationships;
• maintain appropriate business and correspondence records;
• operate, secure and maintain the corporate website and related systems;
• detect or investigate misuse, security incidents or technical problems; and
• comply with applicable legal, regulatory, accounting or contractual obligations.

Cookies and analytics

The current CLEOSOFT corporate website does not intentionally use advertising or analytics cookies and does not currently use website analytics or behavioural tracking tools.

If this changes in future, this notice will be updated where appropriate.

Sharing of information

CLEOSOFT may share personal information with service providers that support normal business operations, such as website hosting, email, infrastructure or professional services, where this is reasonably necessary and subject to appropriate safeguards.

Information may also be disclosed where required by law, lawful authority, court order, regulatory obligation or where reasonably necessary to protect CLEOSOFT, its systems, customers or legal rights.

CLEOSOFT does not sell personal information.

Retention

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, to maintain appropriate business records, resolve enquiries or disputes, and meet legal, accounting or contractual requirements.

Information that is no longer required may be deleted, anonymised, archived or otherwise restricted where appropriate.

Security

CLEOSOFT takes reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

No internet or email system can be guaranteed to be completely secure, and users should avoid sending unnecessary sensitive information through ordinary email.

Your rights

Subject to the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable law, you may have the right to request access to personal information held about you, request correction of inaccurate information, request deletion where legally appropriate, object to certain processing, or raise a privacy complaint.

We may need to take reasonable steps to verify the identity and authority of a person making a request before disclosing or changing personal information.

SHIELDS product privacy

SHIELDS is a separate CLEOSOFT product with its own privacy and product terms because it processes information for operational security functions, subscriptions and customer organisations.

CLEOSOFT may update this Privacy Notice when its website, business activities, legal requirements or information-processing practices change. The current version and update date will be shown on this page.
